Event Terms & Conditions

1. Overview 

By registering for or attending a Cambridge NeuroWorks event, you agree to these Terms and Conditions and the Cambridge NeuroWorks Code of Conduct. 

These Terms apply to all participants, including attendees, speakers, contributors, sponsors, exhibitors, volunteers, and staff, whether attending in person or online. 

Cambridge NeuroWorks events are designed to foster collaboration, knowledge exchange, and respectful dialogue within the neurotechnology community. 

 

2. Registration and Attendance 

2.1 Registration 

Some events may require an application. Submission of an application does not guarantee a place. Confirmation of attendance will be communicated by email. 

Events may have limited capacity. Cambridge NeuroWorks reserves the right to accept or decline applications at its discretion to support balanced representation and productive discussion. 

2.2 Attendance expectations 

By accepting a place at an event, you agree to: 

  • Attend the event as confirmed, or notify us promptly if you are no longer able to attend 

  • Participate respectfully and professionally 

  • Comply with venue policies, safety requirements, and organiser instructions 

If you can no longer attend, please notify us as soon as possible so your place may be offered to others. 

 

3. Event Programme and Changes 

Cambridge NeuroWorks reserves the right to: 

  • Modify the programme, speakers, session formats, or timings 

  • Change the venue or platform if required 

  • Cancel or postpone an event where necessary 

Where possible, reasonable notice will be provided. 

Cambridge NeuroWorks is not liable for any personal costs incurred as a result of programme changes or cancellation, including travel or accommodation. 

 

 
4. Recording, Photography, and Media 

Cambridge NeuroWorks events may be recorded, photographed, or filmed. 

By attending, you acknowledge that: 

  • Event sessions may be recorded and shared via Cambridge NeuroWorks platforms or partner platforms 

  • Photography and video may be used for educational, reporting, and promotional purposes 

If you do not wish to appear in photographs or recordings, please inform the organisers in advance at [email protected] or notify staff at the event. 

 

5. Travel and Expenses 

Where applicable, travel and accommodation support for speakers or contributors will be governed by the Cambridge NeuroWorks Travel and Expenses Policy. 

Cambridge NeuroWorks is not responsible for travel or accommodation costs unless explicitly agreed in advance. 

Participants are responsible for arranging their own travel insurance where appropriate. 

 

6. Health, Safety, and Accessibility 

Participants agree to: 

  • Follow venue health and safety policies 

  • Comply with any applicable public health guidance 

  • Inform organisers in advance of any accessibility, dietary or support requirements 

Cambridge NeuroWorks is committed to providing an inclusive and accessible environment wherever possible. 

 

7. Damage to Property 

Participants are responsible for their own conduct.
